DEVELOPMENT OPERATIONS COORDINATOR

JOB SUMMARY
The Development Operations Coordinatorplays a key role in Tenacitys Development Team, maintaining accurate donor and gift data, supporting daily fundraising operations, and ensuring smooth development processes. This position is ideal for someone organized, detail-oriented, and eager to grow in nonprofit fundraising and database management.
Reporting to theDirector of Major Gifts & Individual Giving, the Coordinator will work across all Development areasEvents, Individual Giving, Institutional Giving, Marketing & Communications, and Operationswith a focus on data entry, record maintenance, gift processing, and administrative support.
Over time, the role will expand to include managing development operations, database functions, and fundraising analysis. Training throughBlackbaud Universitywill support proficiency in Raisers Edge and Raisers Edge NXT, alongside collaboration with Tenacitys external database consultant.
The Coordinator will also assist with donor outreach and fundraising communications, contributing to a mission-driven team that values data integrity and effective donor engagement.
KEY RESPONSIBILITIES
Donor & Gift Database Management (60%)
- Create and maintain constituent records, ensuring consistent updates to contact information, giving records, and key coding features
- Track incoming gifts and notify Development Team within 24 hours of gifts $1,000+
- Collaborate with and provide gift information to database consultant to ensure timely and accurate entry of gifts, pledges, pledge payments, and in-kind contributions into Raisers Edge
- Work with Development Team to record and track donor actions, communications, appeals, and other updates in Raisers Edge
- Support institutional fundraising by maintaining accurate grant tracking information in Raisers Edge and related tools
- Lead the acknowledgement stewardship process, including generating acknowledgment reports for letter merges, conducting the full signing and mailing process, recording and filing digital copies, and assisting with any additional handwritten notes, tributary acknowledgments, and other stewardship as needed
- Learn to generate regular reports to track revenue, monitor data accuracy, and inform team updates
- Apply and institutionalize best practices for data management and the nonprofit giving cycle, including moves management stages (qualification/research, introduction, cultivation, solicitation, and stewardship)
- Partner with database consultant to ensure data integrity, gift entry, and maintenance efforts to improve database health
- Support Finance and Development with quarterly gift reconciliation and maintain all gift records and documentation in accordance with audit protocols
- Train with Blackbaud University virtually to become expert in Raisers Edge and Raisers Edge NXT
- Become a key resource to help the team use data effectively to inform decisions
Administrative & Departmental Support (25%)
- Provide logistical and administrative support for fundraising and cultivation events, donor meetings, board presentations and committee meetings, public relations activities, outreach campaigns, and internal Development meetings
- Provide administrative support to the Development Team and the CEO, including scheduling, filing, drafting correspondence, etc.
- Maintain documents in Tenacitys file-share system, SharePoint, for all Development functions and revenue categories
- Assist the Development team with invoices, expenses, donor/event clothing inventory, and other administrative needs
Fundraising, Communications & Events Support (15%)
- Prepare and update mailing, invitation, and prospect lists for donor communications, campaigns, and events
- Conduct basic prospect research and support project coordination for event, individual, and institutional fundraising efforts
- Support event guest tracking, sponsorship processes, and other administrative event logistics (including assistance with event/communication platforms such as Classy now GoFundMe and Constant Contact)
- Provide on-site support for events as needed (including occasional evenings and weekends)
- Assist with grant tracking, proposal templates, and related documentation
- Provide additional administrative support for the Development teams annual fundraising, communications, and outreach activities as needed
SKILLS AND QUALIFICATIONS
- Bachelors degree or equivalent experience
- 1 3 years of professional or internship experience, preferably in a nonprofit, administrative, or data-focused setting
- Experience with donor CRM systems (Raisers Edge a major plus)
- Proficiency in Microsoft Office Suite, especially Excel; comfort with data entry and organization
- Exceptional attention to detail, accuracy, and follow-through
- Strong organizational and interpersonal skills; clear written and verbal communication
- Capable of managing multiple tasks, setting priorities, and meeting deadlines
- Ability to work both independently and collaboratively within a team
- Commitment to confidentiality and data security
- Willingness to work occasional evenings and weekends for events
COMPENSATION & BENEFITS
Salary Range:
$50,000 - $59,000 annually (based on experience)
