Studio Coordinator (Front of House + Operations)

Full-time | Tue–Sat | 10:30am – 7:00pm (paid for full scheduled shift)
Overview
The Studio Coordinator is the first point of contact and the face of Visions Tattoo, Piercing & Art Gallery—setting the tone, upholding policies, and delivering an elevated, luxury-level experience through consistent execution. We’re looking for someone who brings calm professionalism, strong organization, and a warm, confident presence from the first hello.
We are a private, appointment-only studio—so clear communication, strong boundaries, and consistent policy enforcement matter.
The Studio Coordinator reports directly to the owner and is accountable for all front desk operations and client communications. This role ensures our service standards are met consistently—for clients and for the team.
You’ll engage with clients and promote our services through one-on-one interactions, both over the phone and in person. The right candidate has a genuine interest in the body piercing industry and fine body jewelry, exceptional client service instincts, and the ability to learn and clearly communicate our services, policies, and product knowledge.
You’ll also help ensure the building remains safe, clean, well-stocked, and operationally sound. You will be trained and supported, but you must bring initiative, emotional intelligence, discretion, and professionalism in a fast-moving, client-facing environment.
This role directly supports the Senior Piercer/Floor Manager with administrative and office duties to create a seamless, elevated experience for both clients and staff.
Dates
• Start date: March 3, 2026 (earlier start possible based on training and studio needs)
• Training overlap: ~3 weeks of overlapping training before maternity coverage begins
• Coverage term: through June 27, 2026
• Strong potential to become permanent based on 90-day evaluation and mutual fit
The Studio Coordinator represents Visions’ mission and values, and demonstrates them consistently through the duties and responsibilities below (and other projects as assigned):
Key Responsibilities
Client Experience + Front Desk Leadership
• Be the first touchpoint + steady point of contact for clients—set the tone for an exceptional experience.
• Communicate with clients by phone and email in a clear, prompt, professional manner — reflecting the standards and tone set by the owners.
• Convert inquiries into bookings through confident education and consultative communication (not pressure).
• Uphold studio policies and procedures fairly and consistently with diplomacy and discretion.
First-Floor Operations + Presentation Standards
• Maintain guest-ready presentation of all common areas; restock as needed; flag maintenance concerns to ownership (and/or the Senior Piercer/Floor Manager as appropriate).
• Perform opening and closing duties with accuracy.
• Keep the lobby/front hallway/kitchen/bathroom consistently clean, stocked, and guest-ready.
• Manage day-to-day facility coordination: handle simple tasks when appropriate (lighting, minor resets), receive deliveries, break down boxes, and promptly flag leaks, access/lock issues, restroom problems, safety hazards, or anything broken to ownership (or the Senior Piercer/Floor Manager).
Administrative Support + Coordination (Owner Support)
• Provide administrative support to ownership and studio leadership including email follow-up, scheduling coordination, and task follow-through.
• Maintain accurate records and paperwork (waivers/consents, invoices, intake forms, and internal logs as needed).
• Coordinate studio supplies and ordering (general + piercing/tattoo supplies as applicable), track needs, and communicate low-stock items before they become a problem.
• Respond to building-related concerns or employee requests in a timely and solution-oriented manner.
• Maintain accurate documentation for vendors, inventory, and building needs.
• Maintain consistent social updates (IG posts + stories; Facebook/TikTok as assigned) using owner-provided photos and copy, formatted to brand standards.
• Keep ownership informed with concise updates on operational issues, vendor needs, and recurring supply/maintenance patterns—so problems get solved before they affect clients.
Systems, Tools + Troubleshooting
• Comfortable with standard office technology and multi-step workflows (email, documents, shared drives, office equipment).
• Follow SOP-first troubleshooting for common issues (printer/scanner/POS/credit terminal/internet/phone) and contact vendors/support when needed.
• Comfortable learning new software and systems quickly (we will train you on our POS).
Piercing + Jewelry Standards
• You have a genuine interest in learning the standards behind body piercing and fine body jewelry—materials, terminology, safety basics, and why details matter.
• Learn our policies, age requirements, pricing, jewelry materials/brands/options, and aftercare protocols until they’re second nature.
• This role supports the piercing + jewelry side of the studio; tattoo involvement is minimal.
• Support our Senior Piercer with jewelry inventory tasks (organization, restocking needs, receiving shipments, and basic tracking as assigned).

• Opening and closing duties are completed accurately and consistently.
• The first floor runs clean, organized, stocked, and client-ready every day.
• You communicate with calm, mature professionalism—especially under pressure.
• Policies are upheld consistently and diplomatically, without creating friction.
• You handle pricing questions with calm confidence, guiding clients to the right fit while protecting the elevated studio standard.
•You can work independently, take ownership, and follow through without being micromanaged.
• You close loops and follow through without being chased.
• Requests are handled promptly and professionally; issues are identified early and escalated appropriately to prevent disruption.
• You understand our services, jewelry offerings, pricing, required paperwork, and promotions well enough to communicate them confidently and consistently.
What This Role Is Not
• This is not a quiet desk job.
• This is not a piercing apprenticeship role—though the right person may have an opportunity to cross-train over time.
• This role is not a path to a tattoo apprenticeship.
Qualifications
Preferred backgrounds:
• Piercing industry with strong admin skills, or
• Beauty/salon industry with strong admin skills, or
• Luxury retail or hospitality with strong admin skills, or
• Strong admin background + real interest in learning piercing and fine body jewelry standards.
• Demonstrates urgency and pace; answers phones promptly and follows through reliably.
• High attention to detail; comfortable with numbers and basic math.
• Experience posting on social media (Instagram posts + stories; Facebook/TikTok as assigned).
• Confident working experience with Google Workspace (Docs/Sheets/Drive), Canva, and spreadsheets (Sheets/Excel)—used regularly in a job within the last 12 months.
• Comfortable learning new tools and multi-step workflows quickly.
• Ability to build relationships with diverse personalities and work well under multiple deadlines.
Preferred
• Comfortable using AI tools (e.g., ChatGPT, Gemini, Claude, Grok) to streamline drafting, summaries, and content support—using sound judgment and protecting confidentiality.
• Mailchimp experience is a plus.
• Basic Photoshop experience is a plus.
Requirements:
• 2+ years; 3+ year preferred in office coordination or office administration.
• Experience in a client-facing role where professionalism and discretion matter (piercing/salon/medspa/luxury retail/hospitality preferred).
• Able to lift 20+ lbs; able to climb 2–3 flights of stairs; able to sit or stand for extended periods.
• Strong organizational and communication skills.
• Strong attention to detail and service-minded problem-solving.
• Vendor coordination experience (scheduling, documentation, and follow-through).
• Identifies issues early and takes action—handles what can be handled, and flags what needs escalation before it becomes a recurring problem.
• Positive, steady demeanor and ability to work well with others under pressure.
• Reliable transportation and consistent on-time attendance.
Pay + Benefits
• $21–$25/hr DOE.
• Weekly pay via direct deposit.
• Paid breaks + paid meal period (paid for full scheduled shift: 10:30am–7:00pm).

If hired into a permanent position, additional benefits include:
• PTO: 40 hours/year (accrued upon conversion to permanent; available after 90 days of employment, including the temp-to-hire period), per studio policy and MA requirements.
• Holiday pay for studio-observed holidays that fall on a regularly scheduled workday (Tue–Sat).
• 401(k) eligibility after 1 year (Traditional or Roth options).
