Reconciliation Specialist

Summary:


This position is responsible for all goals, objectives, and policies that the company may

establish. The Reconciliation Specialist should develop positive working relationships,

convey a willingness to help the client, customer and JOH associates, and project a

professional image.


Reports to: Sr. VP Finance

FLSA Status: Non-Exempt


Responsibilities: This position plays a crucial role in ensuring the accuracy and completeness of

financial records and transactions.


Data Reconciliation:

  • Auditing client contracts, MCS data, brokerage statements to fill in gaps which

would allow for the implementation of reconciliation process

  • Review contracts to validate commission rates, customer base, allowable

deductions, etc.

  • Review MCS to ensure data is accurate/data entry as needed when information

has not been entered

  • Review, analyze, and reconcile commission data with internal records identifying

any discrepancies

  • Investigate and resolve discrepancies, ensuring accurate commission payments
  • Manage commission adjustments and deductions in MCS


Communication and Collaboration:

  • Communicate with internal teams (Customer Service, EDI, Sales, Admins,

Finance, IT) to address reconciliation issues and ensure data accuracy.

  • Communicate with clients to secure data missing from MCS or brokerage

statements

  • Process Creation, Maintenance, and Improvement
  • Create a process to reconcile payments when all information is present
  • Identify opportunities to streamline and improve commission reconciliation

processes.

  • Participate in onboarding process for new clients while simultaneously
  • identifying existing clients to begin process with
  • Maintain accurate records and documentation of all reconciliation activities.
  • Documenting the reconciliation process in OneNote with instructions and examples


Future Responsibilities and Functions

  • Prepare reports on commission reconciliation activities, highlighting any issues

or trends.

  • Analyze commission data to identify areas for improvement and process

optimization.

  • Assist with ad hoc reporting and analysis as needed.
  • Provide support and training to internal staff on commission reconciliation processes.

SKILLS / KNOWLEDGE / ABILITIES REQUIRED

Language Skills

➢Ability to read and comprehend detailed instructions, short correspondence, and memos

➢Ability to write detailed correspondence

➢Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization

➢Ability to read and interpret documents such as client mapping, and JOH company procedure manuals.


Mathematical Skills

➢Must have knowledge of basic mathematical concepts

➢Ability to compute rate, ratio, and percent

➢Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages.


Reasoning Ability

➢Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form

Technical Skills

➢A solid understanding of Microsoft Office including Word, Excel, and Outlook as well as proficiency in proprietary systems


PERFORMANCE AND/OR EDUCATION PREREQUISITES

o Highly organized

o Effective communication

o Ability to work independently in a group environment

o Strong attention to details and deadlines

o Proficient with Excel (advanced formulas & data formatting)

o Exceptional Data Entry Skills

o High School degree required, Bachelor’s preferred

o Previous experience with bookkeeping, AR/AP/Banking, or food brokerage is highly desirable
