Position Overview
WeCare Medical Specialty Group is seeking a highly organized, proactive, and tech-savvy Remote Executive Assistant to provide comprehensive administrative and operational support to our executive leadership team. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced, virtual environment. The ideal candidate is discreet, adaptable, and experienced in supporting senior-level executives with complex schedules and strategic projects.
Key Responsibilities
Provide high-level administrative support to executives, including the CEO, COO, and Medical Directors
Manage and maintain complex calendars; schedule meetings, appointments, and travel arrangements
Prepare internal and external communications, including memos, emails, reports, and presentations
Coordinate virtual meetings (Zoom, Microsoft Teams, Google Meet); manage agendas, take detailed minutes, and track action items
Handle confidential and sensitive information with the utmost discretion
Monitor and prioritize incoming emails and requests; respond or delegate as appropriate
Assist with project management tasks and follow-ups to ensure deadlines and milestones are met
Act as a liaison between executives and internal departments or external partners
Support recruitment, onboarding, and vendor coordination as needed
Organize and maintain digital filing systems (Google Drive, Dropbox, etc.)
Track executive expenses and support budgeting/reporting as required
Required Qualifications
U.S. Citizenship or Valid U.S. Work Permit is Required
Proven experience (minimum 5 years) as an Executive Assistant or in a similar administrative support role
Experience working remotely in a healthcare or corporate environment preferred
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace, and video conferencing tools
Strong organizational, time management, and multitasking skills
Excellent written and verbal communication abilities
High level of discretion and professionalism
Self-starter with the ability to work independently and as part of a team
Comfortable working across time zones and supporting multiple executives
Preferred Qualifications
Associates or Bachelors degree in Business Administration, Healthcare Management, or related field
Familiarity with healthcare compliance, HIPAA regulations, and EMR systems (e.g., Athenahealth, Epic, or similar)
Experience supporting C-suite executives in a multi-location or multi-specialty organization.
