Job DescriptionPeacock Properties is a full-service, Boston-based property management company for small- to mid-sized condominium associations and commercial/mixed-use properties in and around Boston. Our team-based approach is unique to the industry and allows us to deliver a comprehensive suite of services including financial reporting, managing capital projects and necessary maintenance, governance of condo documents, 24/7 emergency services, and much more. As the company continues to grow, we are seeking a qualified Office Administrator to join our in-office team. This role will provide critical support to various departments within the company while also supporting clients across our portfolio. This role is in-office and based out of our Charlestown location. Working days/hours are Monday through Friday 8:30 AM – 4:30 PM.Job responsibilities include but are not limited to:
- Manage all mail deliveries, packages, and couriers to the office.
- Answer incoming phone calls and triage to appropriate department.
- Manage uploads on all auto-paid bills.
- Oversee office supply ordering.
- Own company email inboxes and respond to clients when appropriate.
- Draft and send correspondence and other formal documents via mail and email.
- Maintain digital and physical office files.
- Track move-in/out statuses, and community room rentals across portfolio.
- Track parking permit/sticker distribution across portfolio
- Other general administrative duties as assigned.
Qualifications The ideal candidate will be a capable communicator, administrator, and people person whose experience reflects prior handling of office responsibilities. Must be comfortable in a fast-paced environment and able to multi-task and prioritize to meet deadlines in a timely and accurate manner. Superior time management skills are critical to the role. The candidate will wear many hats while managing recurring workflows that are key to operations. Must be experienced in the Microsoft Office Suite, emphasis on Word, Excel, and Outlook, and ready to learn the other internal software used. Strong attention to detail and excellent communication skills are required.
