Program Assistant
Department: Vocational Services
Location: Hatfield, MA
Pay: $20/hour
Schedule: Monday - Friday 8a-4p
Job Summary: The Program Assistant is a vital support role focused on ensuring the smooth and efficient operation of ServiceNets vocational and day service programs. This position emphasizes administrative and data management responsibilities while also providing logistical support and limited participant assistance as needed. The Program Assistant helps maintain program compliance, supports communication between staff, families, and funders, and contributes to the overall success of Community Based Day Services and supported employment programming.
Key Responsibilities:
- Accurately manage and input attendance, participation, intake, and other program-related data into organizational databases.
- Maintain program rosters, funder-regulated documentation, and other records to ensure compliance and accuracy.
- Oversee onboarding procedures for new program members, including preparing, sending, and receiving intake packets, entering data, and coordinating with families, funders, and staff to support seamless transitions.
- Provide administrative support such as scheduling, document preparation, reporting, and stakeholder communication.
- Manage incoming phone calls and messages, ensuring clear and timely communication with program staff and external contacts.
- Support program managers, the Director of Operations, and the Therapeutic Supports Director with documentation, compliance, and operational tasks.
- Assist with program logistics, including travel between sites to deliver or pick up materials and coordinate information flow.
- Provide limited direct support to program members when needed, aligning with service plans and program goals.
- Contribute to program planning for vocational training, community activities, and events in collaboration with program leadership.
- Help track budgets, organize supplies, and support efficient resource allocation.
Qualifications:
- Demonstrated experience in data entry, administrative support, and office systems.
- Proficiency in Microsoft Office Suite (especially Excel) and experience with database management.
- Strong organizational and multitasking abilities with attention to detail.
- Excellent written and verbal communication skills, with the ability to work collaboratively across teams.
- Commitment to inclusivity, empowerment, and supporting individuals with disabilities.
- Valid drivers license and reliable transportation, with flexibility to travel between program sites.
- CPR and First Aid certification or ability to obtain upon hire.
Working Conditions:
- Primarily office-based with regular travel between program sites.
- May involve occasional evenings or weekends for program events or operational needs.
- Exposure to dynamic program environments, requiring flexibility in balancing administrative and participant support tasks.
