Pay: $65,000 - $70,000 per year, dependent on experience and education

Position Overview:

MassCEC seeks a talented and motivated candidate to serve as a Program Coordinator on the Workforce Development team. Successful candidates will provide strong program administrative, organizational, and data collection and analysis skills with a keen interest in helping Massachusetts increase awareness and access to a wide range of career opportunities in the growing clean energy and climatetech industry.

Reporting to the Senior Program Manager, the Program Coordinator will directly support the Strategy, External Engagement and Research (SEER) team and the Managing Director of Workforce Development. The SEER Team focuses on program reporting and data analysis, employer and key stakeholder engagement, labor market analysis and research, and other strategic priorities for the Workforce Development Department. These efforts facilitate the success of the Training and Small Business Support and Student and Young Adult Career Pathway Program Teams and our network of over 600 grantees and ecosystem partners. With a focus on coordinating logistics across a range of initiatives, the Program Coordinator will have the opportunity to flex their organizational skills while supporting initiatives focused on driving the growth of a robust and diverse clean energy workforce, as well as expanding their clean energy and climatetech workforce development and industry knowledge.


Core Responsibilities:

  • Support the implementation of a comprehensive statewide clean energy employer engagement plan, which will focus on fostering partnerships with businesses, industry associations, and public and community-based stakeholders across the state training and workforce ecosystem.
  • In coordination with program staff and consultants, facilitate the planning of events such as in-person grantee convenings, workshops, recurring grantee roundtables, and seminars to advance dialogue between employers, educators and other workforce stakeholders.
  • Support the Workforce staff and consultants providing technical assistance to grantees with the collection of outcomes data, case studies, and other relevant grant information.
  • Communicate effectively with grantees, applicants, and stakeholders to collect necessary information and data and to provide notices of programmatic changes or opportunities.
  • Develop and automate Excel-based tools and reports to streamline data processing and enhance efficiency and collaborate with other teams to ensure data accuracy and provide insights.
  • Perform data cleaning and analysis, organize large datasets in Excel, and coordinate analysis of workforce grantee outcomes, labor market data, and industry trends to support program decision-making, technical assistance, and external reporting.
  • Draft key documents, including contracts, meeting and report summaries, and project descriptions that showcase the departmental impact.
  • Coordinate the stages of the grant award process during competitive procurements, including application intake, Q&A, completeness review, scoring setup, and interview scheduling.
  • Support contract execution and grantee payments by coordinating approvals, collaborating with MassCEC Finance staff, and reviewing grantee invoices, progress reports, and other submitted deliverables.
  • Provide partial oversight and mentorship of interns assigned to the Workforce team.
  • Provide scheduling, research, e-mail correspondence, and social media support for the Managing Director.
  • Perform additional tasks or assignments as directed by the Senior Program Manager and other senior members of the Workforce team.


Position Qualifications

Experience:

  • At least two years of experience in project administration or other relevant position, or prior education preferably in human services, business management, education, energy or environmental science/studies, or related field;
  • Experience in the public, non-profit or government sectors, renewable energy industry, career services, workforce development, or grant administration a plus; and
  • Three years of experience using Microsoft Office Suite Applications including Excel, Word, Outlook, and PowerPoint with at least one year of experience acquired in a work setting (including part-time employment or internships).


Knowledge, Skills, and Abilities:

  • Strong written communication skills with the ability to craft and edit effective e- mails and documents for a range of purposes and audiences;
  • Excellent interpersonal, diplomatic, and verbal/written communication skills;
  • Experience with databases, customer relationship management (CRM) systems, and analysis of data;
  • Proficient in utilizing formulas, conditional formatting, data sorting, and pivot tables in Excel;
  • Working knowledge of basic accounting and payment processing (budgets, invoices, etc.) preferred;
  • Rigorous attention to detail and well-developed organizational skills;
  • Demonstrated ability to manage multiple priorities effectively;
  • Ability to work independently and collaboratively as needed;
  • Excellent problem-resolution skills, and demonstrated ability to make informed decisions;
  • Ability to read and absorb complex contracts, policies, rules, etc. and extract the information needed to ensure compliance with each;
  • Excellent quantitative, research and analytical skills; and
  • Knowledge of and/or interest in workforce development, education, or economic development.
