Schedule: Full-time, with occasional evening event coordination (2–3 times/year)

Position Overview

The Senior Executive Administrator serves as a trusted partner to the CEO and Senior Leadership Team, ensuring the seamless execution of executive operations, governance responsibilities, and strategic initiatives. Operating at the intersection of leadership and administration, this role is essential to maintaining the rhythm of executive activity and upholding the values of service, and community commitment that define our bank. The ideal candidate will bring a blend of professionalism, discretion, and integrity—reflecting the spirit of community banking in every interaction.

Key Responsibilities

  • Provide high-level administrative and strategic support to the CEO and Senior Officers, enabling focus on mission-critical priorities.
  • Draft executive communications, reports, and board materials that reflect the bank’s values and strategic goals.
  • Manage governance operations including scheduling, agenda development, regulatory notices, and documentation for Board of Directors, Executive Committee, and subcommittees.
  • Record and maintain official minutes for board and committee meetings, ensuring accuracy and compliance with regulatory standards.
  • Facilitate onboarding and orientation for new Directors/Trustees and senior executives, fostering alignment with the bank’s culture and governance practices.
  • Oversee the flow of executive-level documentation, including confidential communications, reports, and regulatory filings.
  • Represent the CEO and Executives in interactions with staff, board members, community partners, and external stakeholders.
  • Coordinate the Annual Meeting and other key events in collaboration with the CEO, ensuring alignment with strategic messaging and community engagement.
  • Maintain executive calendars and proactively manage scheduling priorities.
  • Promote a culture of excellence in customer and community relations, consistent with the bank’s values and service standards.
  • Ensure compliance with all bank policies, procedures, and confidentiality requirements.
  • Lead or support special projects and operational initiatives as assigned.

  • Strong understanding of community banking values and governance
  • High emotional intelligence and professional presence
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
  • Ability to manage multiple priorities with discretion and grace

Qualifications

  • Proven experience supporting senior executives, ideally within a community bank or financial institution
  • Demonstrated ability to manage confidential and sensitive information with integrity
  • Experience in board governance, regulatory compliance, and formal minute-taking.
  • Willingness to support occasional evening meetings and community events
