Position Summary:
We are seeking a detail-oriented, organized, and dependable Office Administrator to join our team. This role is critical to ensuring smooth day-to-day office operations and providing administrative support to our field crews and management team. The ideal candidate has strong communication skills, thrives in a fast-paced environment, and is comfortable with scheduling, customer communication, and office systems.
Key Responsibilities:
- Customer Service & Communication
- Answer phones and respond to emails in a professional and timely manner
- Schedule customer appointments and follow up on service calls
- Communicate with homeowners, vendors, and internal team members
- Maintain a high level of customer satisfaction
- Scheduling & Coordination
- Coordinate daily and weekly schedules for energy auditors
- Confirm appointments and manage changes or cancellations
- Work with contractors and utility programs (e.g., NHSaves, HERS Raters, Architects)
- Office & Administrative Tasks
- Manage incoming and outgoing mail, emails, and documents
- Maintain accurate records of projects, permits, and compliance documentation
- Handle data entry, file management, and administrative reporting
- Order office and job site supplies as needed
- Support for Field and Management Team
- Assist with project tracking and workflow updates
- Help prepare job packets and paperwork for crews
- Support HR, payroll, or accounting tasks as requested
Qualifications:
- Previous office administration or customer service experience (preferred)
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office (Word, Excel, Outlook) and/or Google Workspace
- Experience with CRM or scheduling software (preferred but not required)
- Ability to multitask and prioritize tasks efficiently
- Knowledge of energy efficiency programs or construction industry is a plus
- Ability to learn proprietary computer software programs
Work Environment & Schedule:
- Standard business hours, Monday-Friday
