Reports to: Minister

Compensation: $25/hour

Hours: 25 hours/week (20 consistent, in-office weekday hours, 5 hours flexible). Occasional weekend or evening hours.

Position Summary

The Administrative Director (AD) is an integral part of helping us bring our mission to life. As a member of our Executive Team, they work with our minister, staff and volunteers to manage communications, building maintenance, building rentals, security, finance, budgeting, record-keeping, and general office management.

The AD reports to the minister and supervises the building Sexton. They provide administrative support to the minister, Board of Trustees and committees (such as membership, religious education, environmental action, social justice, canvass and community breakfast).

The AD is often the primary contact for members of the community seeking information about our faith and congregation, and is the hub of information about our programs and events for members, friends, and visitors. Therefore they should be responsive, friendly and compassionate, and able to work with a wide variety of stakeholders many of whom are volunteers.

Key Responsibilities

  • Provide administrative and clerical support to the leadership of the society, committees, and for special projects
  • Maintain and organize files on Google Drive, financial, personnel, & other records, and coordinates creation of congregational calendars
  • Manage procurement of needed supplies. Create and circulate reports related to budget and membership
  • Email weekly announcements, Sunday service reminders and information, as well as other congregational notifications as needed
  • Regularly update the UUSA website
  • Coordinate & supervise contractors and sexton for meetinghouse maintenance
  • Schedule & coordinate building rentals
  • Responsible for accounts payable
  • Complete biweekly payroll in coordination with bookkeeper, pledge tracking, and deposit preparation & recording
  • Maintain members & friends database and visitors log
  • Publish members & friends directory

Required Skills & Qualifications

  • Prior successful experience in office management
  • Technical proficiency including competency with Google suite, Microsoft Suite, and QuickBooks (or similar software)
  • Excellent communication skills, verbal and written
  • Highly organized, detail oriented, and able to work independently
  • Able to prioritize and juggle many tasks
  • Flexible in response to a dynamic working environment
  • Able to work cooperatively and discerningly with a wide range of individuals
  • Able to occasionally lift and/or accomplish the moving of up to 25 pounds (ex. moving chairs and tables for set up)
