Job Description

Our client is looking for an Office Administrator to join their mission-based organization. They are looking for someone who is motivated by the opportunity to grow within an organization and to contribute by getting involved in many different activities.


Job Responsibilities:

  • Collaborate with operating team to oversee external bookkeeping partners for check processing, payables, deposit logs, and financial reporting.
  • Accurately handle uploads to the positive pay platform to ensure prompt vendor payments.
  • Maintain oversight of the operations budget, especially regarding purchases and supplies, with cost efficiency in mind.
  • Partner closely with operations to provide high-level administrative support, acting as a gatekeeper and calendar strategist.
  • Serve as a liaison between project managers and vendors by supporting administrative workflows, procurement documentation, and invoice tracking.
  • Design, refine, and implement operational procedures and internal systems, collaborating across departments.
  • Support new employee onboarding (in-person and remote) in coordination with operations.
  • Manage facilities maintenance, renovations, and space planning, ensuring an efficient and functional workspace.
  • Maintain and track document storage and retention processes to ensure regulatory compliance.
  • Develop and manage vendor relationships to secure excellent service and cost-effectiveness.
  • Coordinate updates to the organization’s website and manage email marketing platforms
  • Maintain and ensure accuracy of the CRM, entering donor contributions and generating standard reports.
  • Collaborate with a third-party public relations consultant on content and materials for various platforms, including digital and print media.
  • Organize and facilitate team gatherings such as the annual retreat, seasonal events, and staff engagement activities.
  • Assist in planning and executing community engagement efforts including ribbon cuttings, webinars, panels, and more.
  • Support donor communications through CRM-generated mailings and acknowledgments.


Qualifications:

  • Bachelor's degree required.
  • Experience with Microsoft Office including Excel and Word
  • 2-3 years of related work experience
  • Able to work occasional evenings and weekends
