Administrative Assistant/Payroll Clerk
A.F. Amorello & Sons, Inc. is a family owned, midsize heavy roadway construction, site development and paving company located in Central Massachusetts and is seeking a highly motivated, detail-oriented individual who enjoys compiling and analyzing data. The position involves weekly payroll operations and project job costing.
Job Description:
Ø Reconcile Cross Job Report – Ensure electronic field logs have been created for prior week and verify field employee labor hours for accuracy. Follow up with field Superintendents to resolve any variances.
Ø Reception and field miscellaneous phone calls.
Ø Assist Controller and Staff Accountant with miscellaneous tasks.
Ø Import field employee and equipment hours into Spectrum – Resolve import coding errors i.e., missing jobs, phases, cost types. Work with Controller and Estimator/Project Managers to resolve discrepancies to ensure any changes have been accounted for on the Cost and Revenue side of the job.
Ø Reconcile Spectrum’s calculation of employees’ individual payroll checks to third party processor, ADP.
Ø Process and distribute weekly certified payrolls to customers.
Ø Process unemployment claims.
Ø Maintain MassDOT’s Equitable Business Opportunities Application weekly.
· Update contract employees and contract labor hours.
· Provide monthly reporting to Estimator/Project Manages detailing Current Contract goals vs. Project Actuals i.e., Minority, Female.
· Record payments to DBE’s and ensure payments are acknowledged by DBE.
· Ensure DBE’s are submitting their certified payrolls and updating EBO.
Requirements:
Ø Experience with B2W Track & Estimate, Spectrum preferred
Ø Microsoft Excel
Ø Great communication skills
Experience in the construction industry preferred
