Key Responsibilities:

Client Interaction:

  • Handle incoming client calls promptly and professionally, creating a positive first impression.

  • Prioritize client satisfaction in every interaction—phone, email, or in person.

  • Maintain a personable, uplifting presence enhancing team morale.

  • Answer calls promptly with the company greeting and dispatch service requests efficiently to ensure client satisfaction.

  • Manage the dispatch board to optimize field productivity while maintaining a high standard of client service.

Office Management:

  • Greet clients and visitors warmly, answer phones, and handle general inquiries to maintain a welcoming office atmosphere.

  • Keep office operations organized—manage supplies, track KPIs, and support onboarding.

Team & Personal Development

  • Team Training: Assist in coordinating continuing education for our team members

  • Personal Growth: Take ownership of your own personal development plan.

Production & Documentation:

  • Create and maintain project-related documents, contracts, and invoices, organizing both digital and physical files for easy access.

  • Support production to keep projects flowing through the queue and clients informed.

Communication:

  • Draft and proof emails, letters, and other communications intended for clients, vendors, and internal team members.

  • Ensure clear communication between office staff, field teams, management and clients.

Scheduling & Compliance:

  • Communication with clients to schedule projects, appointments, and site visits, collaborating with production to keep clients informed.

  • Assist in ensuring compliance with health and safety regulations, maintaining up-to-date safety documentation.

What we’re looking for:

  • 1+ year of admin, office, or client service experience (construction or roofing industry is a plus)

  • Excellent communication and interpersonal skills.

  • Stellar organizational and multitasking abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • A friendly, solutions-oriented mindset and strong attention to detail

Job Requirements:

Full Time, in office location, Western Massachusetts

Pay range: starting salary $20 / hour
