Hiring for a Clinical Scheduler in Danvers, MA
Required Schedule: Monday through Friday 9am-5:30pm
Pay: $28/hour
Summary:
The Patient Services Coordinator III/Scheduler, under general supervision, schedules a variety of patient appointments and provides administrative support to patients and health care providers in a high-volume ambulatory setting. Functions as the point of contact for patients to facilitate timely and coordinated clinical visits. Arranges support services as needed. Must be able to organize, prioritize and complete tasks in an efficient manner, manage confidential patient information and accurately complete assignments and data entry.
Responsibilities:
Performs all duties related to Medical Oncology and Infusion scheduling, including:
- Schedules, re-schedules, cancels and coordinates Medical Oncology and Infusion appointments, office visits, diagnostic testing, follow-up appointments and referrals for patients.
- Collaborates with other clinical units, such as Interventional Radiology and Radiation Oncology, to arrange clinical appointments.
- Reviews patient insurance as needed to ensure appropriate coverage and billing.
- Ensures flow of appointments is efficient and coordinated to facilitate timely patient attendance.
- Provides appointment information to patients along with any other materials to provide details on the practice and pre-appointment requirements.
- Reviews key registration elements with patients as required.
- Maintains physician schedules in Epic.
- May monitor Radiation Oncology appointment reminder system to ensure completion.
- Resolves or refers to management patient scheduling complaints
- Processes the answering service call report, ensuring that all patients’ issues are handled and places consults to appropriate physicians.
- Provides telephone assistance to callers and triages information to patients, providers and staff.
- Prepares patient letters in collaboration with the physician.
- Works with staff to coordinate support for patient appointments, such as interpreters.
- Refers patients to hospital departments for additional or special services, including medical records requests.
- In conjunction with the nursing staff, coordinates patient appointments at other Partners locations.
- Collaborates with the Practice Manager regarding complex or unusual scheduling or practice matters.
- Utilizes various computer systems or applications to complete work, including Epic and Mosaiq.
- Provides support and information to problem-solve and manage patient issues.
- Provides cross coverage for other Practice staff members for absences, vacations, etc. and during variations in workflow, as needed.
- Assists with training and orientation of new staff, where applicable.
- Maintains confidentiality and privacy, which is consistent with HIPAA guidelines.
- Updates and maintains knowledge regarding practice operations, managed care, insurance billing and other work-related information.
- Completes training and special projects as directed.
- Performs other duties as assigned, including all tasks which would facilitate the flow of patients into and through the practice, or which would enhance the quality of service to patients.
Qualifications:
- Associate’s Degree in Secretarial Science, Business, Healthcare or related required.
- Minimum 3 years clinical scheduling experience required
- Epic knowledge is preferred.
