Job Description
Vaco has partnered with our client to hire an experienced Legal Executive Assistant to provide high-level support to attorneys.
Responsibilities:
Provide proactive administrative support to attorneys, understanding their work and client needs
Manage communication, prioritize requests, and ensure timely follow-through
Handle scheduling, calendars, timekeeping, and conflict checks
Draft, proofread, and edit legal documents, presentations, and spreadsheets
Manage billing processes and ensure timely invoice delivery
Coordinate meetings, client signings, events, and conference calls
Arrange and manage domestic and occasional international travel
Support business development by tracking follow-ups and maintaining contact lists
Maintain strong relationships with internal teams and vendors
Organize and retrieve legal documents, correspondence, and client materials
Serve as liaison between attorneys, paralegals, and internal staff
Assist with hand deliveries and service of process when needed
Qualifications:
8+ years legal admin support
College degree preferred, not required
Microsoft Office (especially Word, Outlook, Excel)- Document management systems (e.g., iManage)
- Knowledge of state court filing systems
Excellent attention to detail and organization
Strong written and verbal communication skills
Ability to prioritize and multitask under deadlines
Professional, discreet, and proactive
Team player who can also work independently
Flexible to work occasional overtime
Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
