Position Summary:The Commercial Leasing Coordinator supports the Senior Commercial Manager in overseeing all aspects of the commercial leasing process, including tenant inquiries, lease preparation, renewals, and coordination of buildouts. This role ensures timely, professional, and efficient handling of all leasing-related activities to support the companys operational goals and maintain strong tenant relationships.


Key Responsibilities:


Commercial Leasing

  • Respond to all incoming commercial inquiries for assigned properties received through Talk Properties forms (via the website) and phone calls.
  • Utilize and maintain Monday.com to manage and track leasing activity and related tasks.
  • Track and organize all incoming website leads, ensuring timely follow-up.
  • Assist other managers with data entry and record updates as needed.
  • Maintain and update the Commercial Availabilities Board to reflect current property status.
  • Track lease expirations and renewals, ensuring timely communication with tenants.
  • Prepare and process lease renewals and amendments.
  • Post and maintain Craigslist advertisements for commercial availabilities.
  • Manage leasing for small offices, including:
    • Conducting property showings.
    • Drafting and processing leases.
  • Assist with commercial buildouts, including coordinating vendors, monitoring timelines and budgets, and tracking invoices.
  • Process all commercial applications, including credit checks and preparing applicant summaries for the Commercial Manager.
  • Generate reports in Buildium related to commercial assessments and audits.
  • Coordinate with Facilities and Tenant Managers to ensure smooth transitions for incoming and vacating tenants.
  • Other tasks as assigned.


Perform other duties as assigned.


Education & Experience:

  • High school diploma or equivalent required; associate or bachelors degree in business administration, real estate, or a related field preferred.
  • 2+ years of experience in commercial leasing, property management, or related administrative support.
  • Experience with lease documentation, tenant communication, and property databases preferred.


Skills & Competencies:

  • Excellent communication and people skills with a customer service mindset.
  • Highly organized with strong attention to detail and follow-through.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new systems.
  • Experience with Buildium, Monday.com, or other property management software preferred.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong problem-solving and analytical skills.
  • Professional demeanor and discretion when managing sensitive information.
  • Ability to work both independently and collaboratively as part of a team.
