Job DescriptionDescriptionUnder the direction of the Business Manager of Child Development, the Enrollment Specialist will provide a variety of clerical and financial support to the Child Development Department, establishing and maintaining department records; coordinating assigned projects; compiling and distributing a wide variety of material and reports, and engaging and supporting families through the enrollment process. Responsible for the identification, enrollment, attendance and academic success of children. This position works with state agencies to support compliance and standards and works with families to coordinate all facets of billing registration and payments. In addition, they ensure focus on programming that promotes healthy living, social responsibility, and youth development.
Key ResponsibilitiesKey Functions/Responsibilities:

  • Create exemplary Y experiences for our families by engaging them in meaningful conversations, responding in a timely manner to their inquiries, and by resolving any experience issues that they may have.
  • Assist in balancing and submitting all monthly, quarterly, and annual reports to the proper state and federal agencies.
  • Act as liaison between Business Manager of Child Development and families to ensure that registration payments are made, receipted to the family, and distributed to the proper outlets.
  • Responsible for all program registration including the processing of all EEC initial applications and annual renewal applications.
  • Assist qualified families through the financial support program process. Work with families through to compile required documentation for financial support programs.
  • Process all terminations on a timely basis.
  • Manage wait list and attendance for children with EEC slots in the central CCFA data base (Child Care Financial Assistance).
  • Maintain a complete and systematic set of records of the financial transactions in the program.
  • Work with the Child Development Business Office to conduct regular internal audits.
  • Maintain organized and updated files for all EEC and Voucher Children.
  • Become an expert on YMCA programs to support efforts to acquire new families by actively listening to members' needs and matching them to the appropriate programs.
  • Other duties as assigned by program leadership.


Skills, Knowledge and ExpertiseEducation and Experience:

  • Bachelor’s degree in Accounting, Human Services, Business, Social Services, or relevant field of study preferred.
  • Must have a demonstrated record of accomplishment in the areas of youth development, family engagement, and comprehensive services.
  • 2-5 years’ experience in a Business Office Environment.
  • Knowledge of standards, state, and local childcare licensing requirements.
  • Proven ability to function as a team member.
  • Knowledge of accounting methods and practices and ability to oversee budget and fiscal bookkeeping.
  • Ability to work in a multi-cultural, interdisciplinary environment and with diverse community-based agencies.
  • Ability to work with staff, parents, and others from diverse backgrounds.
  • Excellent verbal and written communication skills.
  • Ability to gather and analyze data and write concise, accurate reports.
  • Problem Solving Skills

Work Environment:

  • The noise level in the work environment is usually moderate.
  • Evening work is expected and may be required.

  • The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust.
  • Must be able to commute between multiple program locations and around the community to attend meetings and events.
